Reserving Space

The GTRI Event Space Request Form must be submitted to GTRI in order for an event to be booked. No booking is final until an email confirmation has been received by the person/organization booking the event.

Event space at the GTRI Conference Center is provided free of charge to guests at the discretion of GTRI management.  Priority is given to GTRI sponsored activities, events hosted by the schools and administrative units of Georgia Tech and current GTRI research sponsors.

While the GTRI Conference Center has enjoyed hosting events sponsored by outside organizations, we have begun experiencing difficulty scheduling the facility to support our own organizational activities.  For this reason, ALL event requests submitted through our online Space Request Form will be individually evaluated by a review team before a booking can take place. Not all events will be approved.

The following guidelines have also been established to enhance the overall guest experience and improve logistical aspects of events being held in our facility.  Rare exceptions will be considered, and will require the approval of GTRI’s senior management.

  1. Single-day events are generally limited to Mondays and Fridays.
  2. GTRI reserves the right to limit bookings to the 90 day window prior to your event.
For example: an outside organization contacting GTRI on June 1st can only book an event between June 1st and August 31st.  If the organization wishes to book an event September 15th, it would have to wait until June 15th to do so.
  3. External organizations are generally limited to no more than three events on the conference center calendar at any given time.
  4. GTRI reserves the right to move external organizations’ booked events to alternate locations and/or cancel events more than 60 days prior to the event date.
  5. Conference center parking is provided free of charge at our facility.  However, event sponsors MUST notify their guests to park ONLY on the 4th – 6th floors of our parking deck or they will risk being ticketed by parking enforcement.
  6. GTRI is generally provided the option of being presented as an event sponsor on official event websites, event signage and in the official event program or printed materials.
  7. GTRI is generally provided with the opportunity to receive a number of complimentary registrations to paid events.  The number of registrations to be mutually agreed upon between event host and GTRI.
  8. GTRI is a nonprofit organization and welcomes donations to support our work. Gifts can be made payable to the Georgia Tech Foundation & designated to support research at GTRI.  Mail checks to: Georgia Tech Foundation, 760 Spring Street, NW, Suite 400, Atlanta, GA 30308. Please note in memo section of check that GTRI is the beneficiary. The Georgia Tech Foundation, Inc. Tax ID is 58-6043294. Please contact Betsy Plattenburg (404-407-7889) for more information.

Catering

The GTRI Conference Center has an in-house catering kitchen for customer use. However, the facility does not offer on-site catering services. Customers are welcome to book their own caterers.

No food or drink may be served in the GTRI Conference Center without prior notification to the GTRI event staff. No food is allowed in the auditorium, drinks with lids or bottled-water are allowed.

Alcohol Policies & Procedures

No alcoholic beverages may be served in the GTRI Conference Center without prior notification to the GTRI event staff and approval as mentioned below.

The prevailing policy on the consumption of alcoholic beverages on the Georgia Tech campus applies to all events held in the GTRI Conference Facility. It is the users responsibility to know and implement the Georgia Tech Alcohol Policy which states in general, "no alcoholic beverages may be served at any event unless prior approval is received from the Georgia Tech Facilities office." An email must be sent to Donna Castenell stating the date, location of the event and requesting permission to serve alcohol. A copy of this request should also be sent to GTRI Conference Center Event Coordinator Shelly Ward. All users are responsible for following the guidelines outlined in the Georgia Tech Alcohol Policy.

Lost Articles

Neither GTRI nor Georgia Tech will be responsible for equipment or personal items left in the GTRI Conference Center. Items found will be returned to the front desk of the GTRI Conference Center building. Please contact a member of the GTRI event staff for information concerning any lost items.

Parking

The GTRI parking deck is operated and maintained by the Georgia Tech Parking & Transportation Office. While parking at the facility is currently free, this is subject to change without notice. Prior to your event, please contact Shelly Ward, GTRI Events Coordinator, at (404) 407-6017 to confirm that the parking deck is still free to visitors. GTRI event staff must be notified for any events expecting more than 50 attendees.

The GTRI parking deck has 120 parking spaces for guests. Parking is provided free of charge at our facility.

Event sponsors MUST notify their guests to park ONLY on the 4th – 6th floors of our parking deck or they will risk being ticketed by parking enforcement.

Parking is not allowed in front of the GTRI building. All guests must park in the GTRI parking deck. Buses are not allowed to turn into the GTRI Conference Facility as there is no room for them to turn around and they are too large to access the parking deck. GTRI event staff must be notified in advance if any buses will be coming to the GTRI Conference Facility.
